Privacy Policy
Athlete Matter Pty Ltd (ABN 26 701 891 698) runs Athlete Matter, Hoop Matter and our other Matter brands. In this policy, "we", "us" and "our" mean Athlete Matter Pty Ltd.
We work with young athletes, so we take privacy seriously. As a small business we may not be legally required to follow the Privacy Act 1988, but we have chosen to follow the Australian Privacy Principles anyway.
The short version
- We collect what we need to send your kit, give you access to Matter Minis and stay in touch if you ask us to.
- Parents and carers buy our products and hold the login. We do not ask children for their email address.
- We never sell your information.
- We never publish a photo of a child without written permission from a parent or carer.
- You can ask to see, correct or delete your information at any time.
What we collect
| From | What we collect | Why |
|---|---|---|
| Parents and carers who buy | Name, email, phone, delivery address, order details, discount code used | To process and deliver your order, give access to Matter Minis and provide support |
| Mailing list sign-ups | Name and email | To send your 10% welcome code and program news, only if you agree |
| Players (through a parent) | First name and age group only, if needed to set up access | To make the program suitable for their age |
| Partner academies, clubs and schools | Contact names, roles, emails, phone numbers | To manage the partnership and partner codes |
| People who contact us | Whatever you choose to tell us | To respond, including to complaints |
| Website visitors | Pages visited, device and browser type, cookies (see below) | To run the site and understand what works |
We do not collect payment card details. Payments are handled by our payment provider, which is responsible for keeping card details secure.
Program self-ratings
In week 1 and week 10, players rate themselves on a short online form run on Google Forms. It helps us check whether the program works.
- No personal information. The form does not ask for a name, email, date of birth, school or address. It does not need a login, and it is set up so it does not record email or IP addresses.
- What it does ask: the player's age group, their academy or "none", and a personal code printed in their journal. The code lets us match week 1 to week 10 answers without knowing who the player is.
- Rating questions only. There are no questions where players write about themselves.
- Your choice. A parent or carer agrees before their child starts, and the child can choose not to do it, skip any question or stop at any time.
- Group results only. We report results for groups of 10 or more players. When we share results with a partner academy, they see the group result, never an individual's answers.
If a family contacts us about a rating, or anything else they share worries us about a child's safety, we will act under our Child Safety policy.
Photos and video
We only take or publish photos or video of a child with written consent from a parent or carer, and only if the child is happy to take part. We never publish a child's full name, school, address or anything that could locate them alongside their image. You can withdraw consent at any time, and we will remove the image from the channels we control within 5 business days.
Who we share information with
We share information only to run our business and only with:
- our online store and course platform, Kajabi
- our payment provider, Kajabi Payments
- Australia Post or our delivery partner, to deliver your kit
- our fulfilment partner, for orders it packs and sends
- our accountant, bookkeeper and professional advisers
- authorities, including Police or child protection services, where the law requires or allows it to keep a child safe
We do not share your details with partner academies. An academy will know you used its code only if you tell them.
Information stored overseas
Some of our providers, including Kajabi and Google (which runs our self-rating form), store information on servers outside Australia, including in the United States. We choose providers that protect information to a standard similar to the Australian Privacy Principles.
Marketing emails
We only send marketing emails if you have agreed. Every email shows who it is from and has an unsubscribe link. We send marketing to adults only.
Cookies
Our website runs on Kajabi, which uses essential cookies to make the site work, for example to keep you logged in and to process your order at checkout. Kajabi may also use cookies to measure how the site is used. You can block or delete cookies in your browser settings, but some parts of the site, such as checkout and your Matter Minis login, may not work without them.
Keeping information safe
We limit access to named people who need it, use secure platforms with strong passwords and two-step login, and delete information we no longer need. Child safety records are kept in a separate restricted register.
See, correct or delete your information
Email [email protected]. We will reply within 30 days. If we cannot do what you ask, for example because we must keep a record by law, we will tell you why.
Questions or complaints
Contact us first at [email protected]. Our Complaints page explains what happens next. If you are not satisfied, you can contact the Office of the Australian Information Commissioner.
For young athletes
For young athletes
Your parent or carer bought your kit and looks after your login. We only keep your first name and age group. We will not put your photo online unless your parent or carer says yes in writing and you are happy too. If you want something about you deleted, ask your parent or carer to email us.
Changes to this policy
We will update this page if anything changes. The date at the top shows the latest version.
